This feature enables your firm to efficiently monitor and manage expiration dates on crucial client documents and statuses, all at once. Whether it's tracking visa expiration dates or work permit renewals, you can do it in bulk with ease. This feature eliminates the risk of missing any important deadlines and ensures that your clients' immigration cases are always up-to-date and in good standing.

How to Track an Expiration Date

  1. Go to the contact record's "Tracking" tab to record a new expiration date for a document.
  2. Click on the "+" button to add a new expiry date tracker and select the document type from the dropdown.
  3. Enter values into the required fields with a red asterisk, enter the email addresses of the LollyLaw users who should be notified on the notification days selected and press 'Enter' on your keyboard to save the email address.
  4. Select the days when email notifications should be triggered and click 'Save' to save the expiry date tracker.

 

Perform an Action on a Recorded Expiry Date

Users can perform a variety of actions on a recorded expiry date tracker, including editing the tracker, copying the information, sending an email, sending an SMS text message (LollyMessaging must be enabled for the account), and deleting the tracker. To perform an action on a recorded expiry date tracker, please follow these steps:

  1. Go to the contact record's "Tracker" tab and locate the recorded expiry date tracker you would like to perform an action on.
  2. Click on the "⋮" action button on the far right of the expiry date tracker and select one of the options available (Email, Copy, Send Email, Send SMS, Delete). If selecting 'Copy', the tracker information will copy to the user's "clipboard" and the user can paste the information where they would like, such as into a document or in an email.
  3. Selecting 'Send Email', the user will be required to enter the email address of the person they would like to send an email to and press 'Enter' on their keyboard to save the email address. Enter the subject line of the email and type the body of the email into the textbox before clicking 'Save' to send the email.

 

Manage System Notifications for Expiry Date Tracking

Admin users at your office can manage the system notifications for 'Expiry Date Tracking' easily. These system notifications are in-app and email notifications that are sent to your office's users upon a trigger date for a specific document type that is being tracked for a client.

To manage the system notifications for Expiry Date Tracking, please follow these steps:

  1. Go to Settings>Account Configuration>Expiry Date Tracking.
  2. Click the edit button next to a document type where you would like to customize the notifications across the account.
  3. Select the 'Trigger Before Days' to specify the trigger days when you would like to receive system notification.
  4. Enter the email address of a LollyLaw user or users who you would like to receive system notifications upon the trigger days selected for that document type. Press 'Enter' on your keyboard to save the email address.
  5. Click 'Save' to save the notification settings for this document type.
